We are excited that the 2017 National Conference on Youth Ministry will be held in Daytona Beach, FL at the Hilton Daytona Beach this year.  NCYM has been held in Daytona Beach several times and we anticipate strong attendance based on previous attendance at this location.  We try to provide an educational, exciting and enriching experience for youth ministers and volunteers.  As an exhibitor, you can join the keynote speakers and presenters in strengthening their ministry.  We want you to have the opportunity to equip youth ministers with the resources and skills they need to be effective in reaching teenagers.  As a exhibitor you will have access to approximately 400 youth ministers and volunteers and we will try to provide every opportunity for you to generate traffic to your booth.

When you are an exhibitor at NCYM, you get to choose your booth size and location online, so it pays to register early.  As you will see, we have many booth options, add-ons, and sponsorship opportunities available for every budget.

Gold Partner (only one available):  $2700

Our premium partners will have the opportunity to speak from the stage during a keynote evening session for a maximum of five minutes.  The keynote sessions give you the opportunity to speak to all the conference participants at one time.  In addition, you will have time to interact personally at a dessert reception sponsored by your organization.  You will also be able to show a one minute video during the one of the other two keynote sessions and provide a bag stuffer for the registration packets.  In summary, you will get:

  • The opportunity to sponsor dessert at Wednesday luncheon
  • Selection of speaker(s) for the luncheon on Wednesday
  • Two opportunities to post blogs on NCYM.org
  • A one minute video shown during each of the evening keynote sessions
  • One bag stuffer for registration bags
  • A prime 10’ x 20’ exhibitor booth in the foyer outside the keynote sessions. The exhibitor booth will include a table, two chairs, and a trash can.
  • Four registrations for the conference
  • Listing in the exhibitor section of the NCYM.com website. This includes full company name, email address, website link, Facebook and/or Twitter handle, and 15 to 20 word company description.

Silver Partners (only three available):  $2500

Bronze Partners (Only three available)  $1500

Our bronze partners will have the opportunity to have the MC talk about their organization and show a one minute video during one of the morning sessions and provide a bag stuffer for the registration packets.  In summary, you will get:

  • One bag stuffer for registration bags

Platinum Partners (Only three available)  $1000

Exhibitor Opportunities

We are significantly restructuring our exhibitor experience at NCYM for 2017.  We will be limiting the display time for exhibitor to Monday 9:00 p.m. to Wednesday at noon.   We will have a grand opening for exhibitor Monday evening following the keynote.   We will offer dessert to conference participants at this time and again on Tuesday evening before the keynote in the back of the exhibitor area.  We are asking that if your booth is giving away a large item through a drawing that you announce the winner on Wednesday during our last exhibitor session.  We will only make 20 exhibitor spots available for the conference.

Standard Booths $400

The exhibitor booths will be in a secure area and will only be open specific times of the day.  Participants will have stamp cards for you to validate.  We will put these stamp cards into a large drawing and announce the winner on Wednesday morning at the back of the exhibitor area.

  • Two registrations for the conference
  • Listing in the exhibitor section of the NCYM.com website. This includes full company name, email address, website link, Facebook and/or Twitter handle, and 15 to 20 word company description.

Add-Ons

Blog Post–$100

  • One blog post on the NCYM.org website and Facebook post between June and January.
  • One social media (Facebook and Twitter) mention from NCYM that will include your NCYM booth number (7 to 10 days before the conference).

One Chair Drop (6 available)–$250

  • Item needs to a value of $5+ per attendee (e.g. book, product sample, download card, merchandise, etc).
  • Must provide 400 items.

Lanyards–$100

  • Provide 500 Lanyards for the conference

Conference Bag–$250

  • Provide 500 bags for registration materials

 

Rules and Policies

* The exhibitor’s display, equipment, and materials shall be kept within the actual dimensions of the booth space. The exhibitor is responsible for maintaining a neat and clean booth.

* The exhibitor shall be fully responsible to pay for any and all damages to property owned by the Sheraton Arlington Hotel which result from any act or omission of the exhibitor. Neither NCYM nor its respective agents shall be liable for failure of the scheduled exhibition to be held due to fire, water damage, public emergency, strikes, other labor disputes, boycotts, cancellation of facility contracts, or acts of God beyond the power or control of NCYM to prevent.

* It shall be the responsibility of the exhibitor to secure necessary insurance coverage. The exhibitor acknowledges that neither NCYM nor the Sheraton Arlington Hotel maintains insurance covering the exhibitor’s property and it is the sole responsibility of the exhibitor to obtain business interruption, property damage, and liability coverage covering any such losses or claims.

Prize Drawing — An additional way for you to encourage participants to come by your booth is to have drawings for prizes. All prize giveaways will be announced at the Wednesday during the final exhibitor session.  Participants should be able to sign up for the prize at your booth.  Booths may not be torn down until after noon on Wednesday and must be completely removed by 5:00 PM on Wednesday. 

Giveaways — You may choose to provide complimentary items at your booth as another form of promotion.
